Privacy Policy

Last updated: 7 October 2026

This page explains what information Hilm Academy collects when you book a free trial Qur'an class, why we collect it, how long we keep it, and the choices you have. We have written it in plain English rather than legal language, because the person reading it is usually a parent, not a lawyer.

1 Who we are

Hilm Academy is an online academy providing one-to-one Qur'an, Tajweed, Hifz, Hadith and Islamic Studies classes to children and adults, delivered live over Zoom by qualified teachers.

In data protection terms, Hilm Academy is the data controller for the information described in this policy. That means we decide what is collected and what it is used for, and we are responsible for looking after it.

You can reach us at academyhilm@gmail.com or on WhatsApp at +880 1886 606469.

2 What we collect

We only ask for what we need in order to arrange a class. There is no account to create and no payment details taken on this website.

When you message us on WhatsApp

We receive your phone number, your WhatsApp display name and profile photo, and the content of your messages.

Anything you type into the Additional notes box is stored with your enquiry, so please only share what you are comfortable with. There is no need to tell us anything about your child’s health or medical history.

Automatically, when you visit this website

Our hosting provider records standard server information such as your IP address, browser type and the pages you visited. If you allow analytics (see section 9), Google Analytics also tells us how the site was used, such as which pages were viewed, roughly which country visitors are in and what kind of device they used. If you also allow marketing cookies, the Meta Pixel tells Meta that you visited and whether you booked a trial, so that we can measure our Facebook and Instagram ads.

What we never ask for

We do not collect payment card details, government ID, your child's school records, health information, or any special category data through this website. If anyone contacts you claiming to be from Hilm Academy and asks for card details or passwords, it is not us.

3 Why we collect it, and our lawful basis

  • To arrange and deliver your child's trial class — this is necessary to take steps at your request before entering into a contract, and to perform that contract if you enrol.
  • To contact you about your enquiry — you gave us your number specifically so that we could reply, which is our legitimate interest in responding to the request you made.
  • To send progress updates once your child is a student — necessary to provide the service you signed up for.
  • To understand how the website is used — only where you have given consent to analytics cookies.
  • To measure our advertising — only where you have given consent to marketing cookies.

We do not sell your information, and we do not use it to send unrelated marketing. If we ever want to send you something outside the scope above, we will ask you first.

4 Children's information

Our students are often children, so this deserves its own section.

  • The trial class form is intended to be completed by a parent or guardian, not by a child.
  • The only information we hold about a child is their name, their learning level and their class progress. We do not collect a child's contact details, and we never contact a child directly — all communication goes through you.
  • We do not market to children, and we do not use children's information for advertising or profiling.
  • If you believe a child has submitted information to us without your involvement, contact us and we will delete it.
Photos and names on this website

Where a student's name, photo or achievement appears on our website or social media, we publish it only with the prior permission of that child's parent or guardian. You can withdraw that permission at any time by contacting us, and we will remove the material.

5 Contacting you on WhatsApp

We use WhatsApp as our main way of speaking with parents. When you message us, or when we message you on the number you provided, your conversation is carried by WhatsApp and is subject to WhatsApp's own privacy policy as well as this one.

If you would rather we contacted you by email instead, tell us and we will.

6 Who we share it with

We share your information only where it is needed to run the academy:

  • The teacher assigned to your child — they see your child's name, level and schedule.
  • Our website host, who stores the site and its server logs.
  • The service that delivers our enquiry form, which passes your submission to our inbox.
  • Zoom, which hosts the live classes.
  • Google (Google Analytics), but only if you allowed analytics cookies.
  • Meta Platforms (the Meta Pixel), but only if you allowed marketing cookies. Meta receives that you visited and whether you booked a trial, never your name, contact details, your child’s details or anything you typed in the form.
  • Authorities, if we are legally required to.

We never sell your personal information, and we never give the details you type into our form to advertisers.

7 Where your information is handled

Hilm Academy's team is based in Bangladesh, and many of our families live in the United Kingdom, the European Union, the United States, Canada, Australia and the Gulf. This means the information you give us is transferred to and processed in Bangladesh.

8 How long we keep it

  • Enquiries that do not become students — kept for up to 12 months, then deleted.
  • Current students — kept for as long as your child is enrolled with us.
  • Former students — basic records kept for up to 3 years after the last class, in case you return or request a certificate.
  • WhatsApp conversations — kept for as long as the chat exists on our business device.

You can ask us to delete your information sooner at any time. See your rights below.

9 Cookies and analytics

This website uses analytics cookies and an advertising pixel only if you agree to them, using the banner on the home page: Allow all, Analytics only or Decline.

Strictly necessary items — a small amount of information stored in your browser to remember your cookie choice and to keep the page working. These do not require consent.

Analytics (Google Analytics) — if you allow it, we use Google Analytics to understand which pages parents find useful and where they get stuck. We only look at it in aggregate, to improve the website. It sets cookies named _ga and _ga_…, which last up to two years unless you clear them. If you decline, Google Analytics is not loaded at all.

Marketing (Meta Pixel) — only if you choose Allow all. The Meta Pixel tells Meta (Facebook and Instagram) that you visited, whether you tapped our WhatsApp or email links and whether you booked a trial, so that we can see which ads work and Meta can show our ads to people likely to be interested. It sets a cookie named _fbp, which lasts about three months. It is never given your name, contact details, your child’s details or anything you type. If you choose Analytics only or Decline, the Meta Pixel is not loaded at all.

Google and Meta may process this information in the United States and other countries; they use safeguards approved for such transfers, such as the EU–US Data Privacy Framework and Standard Contractual Clauses.

You can change your mind at any time using the "Cookie settings" link at the bottom of the home page.

10 Your rights

Depending on where you live, you have some or all of the following rights over your information:

  • Access — ask for a copy of what we hold about you and your child.
  • Correction — ask us to fix anything inaccurate.
  • Deletion — ask us to erase it.
  • Objection and restriction — ask us to stop or limit how we use it.
  • Portability — ask for it in a transferable format.
  • Withdraw consent — where we relied on consent, withdraw it at any time.
  • Complain — to your local data protection authority. In the UK this is the Information Commissioner's Office at ico.org.uk.

To exercise any of these, message us on WhatsApp or email academyhilm@gmail.com. We will respond within 30 days and will not charge you for it.

11 How we protect it

This website is served over an encrypted connection. Access to enquiry details is limited to the admissions team and the teacher assigned to your child. Our accounts are protected by passwords and, where available, two-factor authentication.

No system is perfectly secure. If a breach ever affects your information in a way that poses a risk to you, we will tell you and the relevant authority as required by law.

12 Changes to this policy

If we change how we handle your information we will update this page and change the "last updated" date at the top. If the change is significant, we will tell you directly.

13 How to contact us
